Who we are

EasyLearning 1 2 1 Ltd (company number 14262346, registered in England and Wales), trading as EasyLearning121, is the data controller for the personal information described in this policy.

What we collect

• Parent/guardian details: name, phone number, email address, and billing information when you enquire, book or become a member.
• Child details: name, age/year group, school year, and information about their learning needs that you choose to share (including any special educational needs or medical information relevant to their care while with us).
• Learning data: assessment results and ongoing progress records, used to plan sessions and produce your monthly progress reports.
• Attendance and safeguarding records: sign-in/sign-out logs, collection arrangements, and any accident or safeguarding records we are required to keep.
• Website data: information submitted through our contact and booking forms, and cookie/analytics data described below.

Why we use it (lawful bases)

• To provide tuition — managing bookings, memberships, payments, sessions and progress reports (performance of a contract).
• To keep children safe — attendance, collection, first aid, accident and safeguarding records (legal obligation and vital interests).
• To respond to enquiries — replying to messages within 24 hours (legitimate interest).
• To send you updates or offers — only with your consent, which you can withdraw at any time.

Children's information

We collect the minimum information about your child needed to teach them well and keep them safe. We never sell or share children's data for marketing. We operate a strict no-photography policy: children are never photographed at the centre, and their work is never shared publicly.

Who we share data with

• IXL Learning — the adaptive learning platform used in sessions; a learner account is created for your child. See IXL's own privacy policy.
• Our booking and enquiry system (LeadConnector/HighLevel) — processes booking and contact-form submissions on our behalf.
• Our payment/direct debit provider — processes membership payments. We do not store your card or bank details ourselves.
• Authorities — where we are legally required to (for example, statutory safeguarding referrals).

We never sell personal data.

How long we keep it

Membership and learning records are kept while your child attends and for 6 years afterwards. Accident and safeguarding records are kept for the periods required by law, which can be longer. Enquiry details from families who don't join are deleted after 12 months.

Your rights

Under UK GDPR you can ask us to: access the personal data we hold about you or your child; correct it; delete it; restrict or object to how we use it; or provide it to you in a portable format. Email info@easylearning121.co.uk and we'll respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.

Cookies

Our website itself does not use analytics or marketing cookies. Third-party services embedded on this site — our booking and contact forms, and Google Maps — may set their own essential cookies to make those features work. See their own policies for details. You can block or delete cookies in your browser settings, though some site features may stop working.

Changes to this policy

We may update this policy from time to time. Significant changes will be communicated to active members in writing.
